Last spring I found a UPS quote that made my budget spreadsheet sing. The price was $32,400 for a 60 kVA unit. I sent it to finance with the phrase best price attached. Two days later, the same project had grown to $50,900, and the vendor who originally asked for more was suddenly the one that cost less.
The quote that made me look wrong in front of finance
My title is procurement manager for a 340-person manufacturing plant. I've managed the power-protection side of our electrical budget for six years. That budget covers UPS systems, battery testing, transfer switches, and the occasional repair. It also covers my mistakes, so I keep good records.
The $32,400 quote was exactly what I requested: a 60 kVA UPS with standard delivery. Standard delivery, I learned, meant the truck drops a wooden crate at the dock. It did not include the battery cabinet, the maintenance bypass, the remote monitoring card, the factory startup visit, the old unit removal, or the recycling paperwork for the old batteries.
A second vendor quoted $45,900. I almost dismissed it as too expensive. I sent both quotes to our electrical contractor for review. The first quote needed $10,800 for the correct battery cabinet, $1,900 for the bypass, $2,600 for startup and commissioning, $1,800 for freight and rigging, and $1,400 for removal and disposal. Total: $50,900. The second quote included all of those items at $45,900.
To be fair, the first supplier did not mislead me. The supplier quoted what I asked for. I asked for a UPS. I did not ask for a UPS system. That was my mistake, and I paid for it in a meeting with finance.
The surface problem: comparing nameplates instead of installations
I used to compare UPS quotes by their part numbers, kVA ratings, and efficiency numbers. That approach works for buying a printer cartridge. It does not work for buying critical power systems.
A UPS is not one device. It is a rectifier, an inverter, a battery string, a bypass path, and a monitoring system. The quote can list the same base UPS and still describe two completely different projects.
The question everyone asks is, What's the price per kVA? The question that prevents the embarrassing spreadsheet is, What is not included in that number? I now ask it twice, and I ask for it in writing.
The deeper reason: cheapest hardware can be the most expensive system
Here's the thing that procurement teams don't always want to hear: the deeper problem is not a salesperson hiding fees. It's buyers treating a complex system as a commodity.
When I choose the cheapest quote, I stop reading. The low number gives me a false sense of victory, and by the time the add-ons arrive, I have already invested mental energy in the deal. Negotiation fatigue is a hidden cost that never shows up on an invoice.
There are also physical reasons a line-item UPS quote can be misleading.
- Batteries are consumables. In a 60 kVA UPS, the battery cabinet can add more than 30% to the equipment price, depending on runtime. It is not an accessory. It is where the stored energy lives.
- Startup is not a courtesy. Many manufacturers require a factory-trained technician to perform startup before the warranty begins. If your quote leaves it out, you will buy those hours later.
- Installation is part of the project. Cable, terminations, rigging, floor loading, ventilation, and bonding can differ between two sites even when the UPS model is the same.
None of this means low-priced UPS units are automatically bad. It means I can't judge them until the full scope is in front of me.
What the old way cost us
In 2024, we had a UPS that did not hold the load during a utility sag. It did not fail because the UPS was too old. It failed because the battery replacement had been deferred to next fiscal year. The outage cost about $6,300 in spoiled material and 45 minutes of lost production. That number comes from our finance team's internal estimate, and I don't want to see that calculation again.
I still kick myself for not asking for a five-year battery plan before the original purchase. If I had, the battery replacement would have been a line item from day one instead of a budget emergency. It also would have changed the conversation from, The UPS died to We are due to replace the battery string.
Between you and me, the worst cost was not the material. It was the loss of credibility when I told finance a purchase order was good and then needed more money later.
What I ask for now
When I compare power protection now, I do not ask for best price first. I ask for complete price first. The template I use is simple:
- One total that includes the UPS, battery cabinet, maintenance bypass, startup, shipping, rigging, removal, disposal, and first-year service.
- A written list of exclusions. If there are none, I want that stated too.
- A five-year battery replacement estimate, including labor and disposal.
- A startup and acceptance test plan that tells me how the system is verified.
I think about the FTC's advertising guidance here. Claims should be truthful, substantiated, and not misleading. All-inclusive is a claim. No hidden fees is a claim. I want those claims in writing, and I want to compare them to the scope. That is not cynicism. It is procurement.
The project that started this article ended up going to a Schneider Electric UPS through an APC by Schneider Electric partner. It was not the lowest number on the first page. It was the lowest number after I added every line item the first quote had left out. We selected the modular version because our electrical load is growing. It costs more upfront, but adding a power module later is cheaper than replacing a whole UPS.
I am not saying one brand is the only honest option. I am saying the product line we evaluated included Smart-UPS models for smaller rooms, Easy UPS 3M for the mid-range project, and Galaxy VX for data centers. The names are useful because they make the scope clearer, but the total-cost breakdown matters more than the badge.

Home manual transfer switch. A manual transfer switch lets you choose between utility power and a generator. It is not a UPS. There is a real interruption while the switch moves. If the loads cannot tolerate that gap, install a UPS upstream or on the critical loads. The switch also needs correct sizing, wiring, and permits, so include those costs when you compare quotes.
How to test 12v battery with multimeter. You can test state of charge. Let the battery rest, set the meter to DC volts, and probe the positive and negative terminals. A fully charged 12V lead-acid battery reads around 12.6V. Around 12.2V means it is notably low. But a multimeter does not show capacity under load. For a UPS battery string, use a load bank test or impedance test as part of the maintenance contract.
GoPro Hero 9 battery charger. If that search brought you here, don't use a camera charger on a UPS battery. A GoPro battery is a small lithium-ion cell with a different charging profile. UPS battery cabinets use larger battery blocks, often valve-regulated lead-acid, connected in series. The wrong charger creates a safety risk, not a compatibility shortcut.
There's a small satisfaction in seeing the final invoice match the approved purchase order. It should not be rare. I notice it every time it happens, and I try to forget the times it didn't.
